How do I respond to a user's holiday request?

On Immerse Works approving or denying a holiday couldn't be easier. This walkthrough guide will explain the necessary steps you need to take.


A quick guide to responding to a user's holiday request:

  • Login to your Immerse Works system.
  • Click on the People icon at the top of the page.
  • Once on the People dashboard, click on Time off.
  • This will display your personal holiday calendar view of the whole year. Click on My Team to switch to the team holiday calendar.
  • Click Holidays Awaiting Approval.
  • Find the holiday you wish to action, click Respond.
  • Complete the relevant information and click Submit.


A more in-depth guide on how to respond to holiday requests:
  • Once you have logged into your Immerse account, you will find yourself on the Home Dashboard. On here, you will find quick link buttons to the different applications, as well as your home widgets. To access your team holidays, click on the People icon at the top of the page.


  • This will direct you to the People dashboard. To approve or reject time off requests, you will need to navigate to the Time off page. You can find the link located on the left-hand side.



  • You should now be on the Holidays and Leave page. To view and respond to your team's time off requests, click on the My Team tab. To proceed click on Holidays Awaiting Approval. You can also respond to any TOIL requests by clicking on TOILS Awaiting Approval.



  • Find the holiday request you wish to action and click respond.



  • This will open up the request modal, which displays:
    • Name: This will be the requester's name.
    • Date: This will be the date range for the holiday.
    • No of days/hours: This will the number of days or hours a user is requesting
    • Reason: This is an optional message a user can add to their request.
  • Once the details have been reviewed, select Approve or Decline.
  • You also have an option to write a message back to the user (for example, explaining why the request has been declined).
  • Click Submit.



That's it, you're done! Your team member will receive an email confirming your response to their request.
